Position Title: Executive Assistant to CEO & Executive Team
Purpose:
To provide high-level executive, administrative, and board-level support to the CEO, CFO, and other Group Executives. This role demands exceptional organisational skill, confidentiality, stakeholder management, and extensive experience in governance and international travel coordination.
Key Responsibilities
1. Executive Support
    • Manage complex calendars and prioritise meetings for the CEO, CFO, and BU Heads.
    • Prepare confidential reports, presentations, and executive briefings.
    • Maintain document control and filing systems.
2. Board & Governance
    • Coordinate board and committee meetings, agendas, packs, and minutes.
    • Liaise with legal, secretarial, and executive teams to ensure timely governance compliance.
    • Handle all board documentation securely and confidentially.
3. Travel & Logistics
    • Plan and manage complex local and international travel, including flights, accommodation, itineraries, visas, and travel allowances.
    • Manage travel expense claims and reconciliations for the executive team.
    • Provide travel advisory and coordinate travel insurance and pre-approvals.
4. Office & Event Administration
    • Maintain executive office records and archives.
    • Support company events, staff functions, and meetings (e.g. venue bookings, catering).
    • Oversee office supplies, business cards, and related logistics.
5. Projects & Communications
    • Assist CEO with projects, research, team coordination, and document drafting (articles, speeches).
    • Serve as point of contact for key stakeholders.
    • Ensure timely and professional communication on behalf of executives.
6. Document & Stakeholder Management
    • Review and route incoming reports and documents appropriately.
    • Coordinate stakeholder engagements with global partners, shareholders, and regulators.

    • Strong proficiency in MS Office, project management, and board systems (e.g. Diligent).
Qualifications & Experience
    • Minimum: National Diploma in Business Administration, Secretarial Studies, or similar.
    • Experience: 8–10 years supporting C-suite executives in a high-pressure environment.
    • Strong board governance experience and international travel coordination.
    • Familiarity with corporate structures and multi-level stakeholder engagement.
Additional Advantage: Project Management certification or experience.
